Motor body repair  ·  Gauteng & Cape Town

You repair the vehicles.
We run the business behind the workshop.

Finance, payroll, HR, creditors, claims admin, IT, suppliers, compliance — the whole non-repair side of your workshop, run by one accountable partner. You keep every payment decision. We handle the rest.

The problem

You did not open a body shop to do paperwork

Most workshop owners we meet are doing creditors on a Sunday night.

The repair side of this industry has become harder — newer vehicles, more electronics, stricter manufacturer protocols, tighter insurer requirements. You have invested in equipment, training and accreditation to keep up.

The rest of the business grew at the same time, and nobody planned for it. SARS submissions. Payroll. Supplier accounts and queries. Insurer audits. Debtors who will not pay. An IT problem on a Friday afternoon. Staff contracts and disciplinaries. Month-end figures that arrive six weeks late, if they arrive.

So you hold it together yourself, across an accountant, a bookkeeper, an IT contractor, an HR consultant, a connectivity provider and four software vendors. None of them talks to the others. None of them is responsible for the whole thing.

You are the only person joining it all up. And that is the most expensive job in your business.

Bluespan AutoOPS exists to take that off you. Not a bookkeeping service. Not another supplier to manage. One accountable partner that runs the non-repair side of your business so you and your team can concentrate on throughput, repair quality and getting cars back to customers.

It is built by people who have run the office side of a panel shop themselves — payroll, creditors, insurer audits, the lot — not just advised on one.

What we run

One team for the whole non-repair side

Core functions are delivered by our own people. Specialist and technical work is delivered by approved providers we appoint, manage and hold to their service levels — you still deal with us.

Finance & accounting

Bookkeeping, reconciliations, creditors, debtors and a monthly management pack — income statement, balance sheet, ageing and plain-English commentary.

Payroll & statutory

Payslips, PAYE, UIF, SDL, EMP201/EMP501, VAT and routine SARS administration. We prepare and load the salary batch; you release it.

HR administration

Contracts, onboarding and offboarding, leave and attendance, employee records and the disciplinary process, with labour specialists on call for complex matters.

Claims & insurers

Claims documentation, accreditation renewals, day-to-day insurer dealings and the negotiations that go with them — plus a second set of eyes on your costings and remittances.

Managed IT & cybersecurity

Service desk, endpoint and network management, Microsoft 365, security, backups and disaster recovery — delivered through an approved MSP with us accountable for it.

Connectivity & voice

Fibre, LTE/5G, fixed wireless and VoIP through approved providers, managed commercially by us. Line and hardware charges are billed separately.

Procurement & rebates

Group buying, negotiated pricing, credit terms, settlement discounts and rebates on the supplier categories you ask us to manage — reconciled every month.

Compliance & secretarial

Compliance calendar, statutory tracking, routine CIPC and company-secretarial work and COIDA administration, with POPIA and B-BBEE specialists managed alongside.

Digital presence

Website, hosting, social content and paid advertising, coordinated through approved providers. Media spend and agency charges are billed separately.

Full service list & what stays yours

We never touch your money. We prepare your supplier and salary payment batches, load them into your banking platform with the supporting documents attached, and then stop. Only you, or a director you nominate, releases a payment. That is contractual. It does not change.

Recover

Two places we look for money you have already earned

Your claims, end to end

Repair costings are complicated, insurers do not always pay what was claimed, and in most workshops the person checking is the owner, at night. Our costings function reviews claim submissions and final repair-cost estimates before they go out, then checks what actually lands against what was claimed and pursues anything short-paid or under-recovered. You keep final say on commercial terms and the customer conversation about the car.

Your suppliers

Where you ask us to manage a supplier relationship, we negotiate the commercial terms — pricing, credit terms, settlement discounts, rebates and service levels — backed by the buying position of every client we manage. Rebates are reconciled every month and we show you the workings.

On R100,000 of qualifying spend at a 5% rebate: R5,000 in total — R1,000 to us, R4,000 to you.

How it works

A predictable path in, and a monthly rhythm you can set your watch by

1

A free operational diagnostic

We come to your workshop and go through how the business actually runs, and what you are already paying every provider. We put a number on it. No charge and no obligation — if we cannot make a case worth your time, we will tell you so.

2

A written proposal you can check

What we take on, what stays with you, what it costs, and what you are spending today on the same work — both numbers side by side. There is no onboarding fee.

3

Transition, over roughly three months

We take on your records, systems, supplier accounts and payroll in a planned sequence. The first two or three months involve real work on your side while we get to the bottom of everything. Then it settles, and stays settled.

4

A monthly management pack

Income statement, balance sheet, debtor and creditor ageing, budget variance and plain-English commentary on what moved and why. Service levels for each area, in writing. A named person you phone.

5

Formal reviews

A financial management meeting every quarter. A service review every quarter. A supplier performance review every quarter. Budget and commercial reviews annually. Nothing drifts.

How the transition works in detail

How we price

One fixed monthly fee, set by your turnover band

Not a percentage of what you turn over. You know what it costs before the month starts, and a good month does not cost you more. The fee is set from your agreed turnover band and an assessment of operational complexity, and confirmed in the written proposal after the diagnostic.

Equipment, connectivity, software and project work are quoted separately, so you can see exactly what you are paying for. A twelve-month minimum term, then twelve months at a time, with ninety days' notice.

Straight answers

The questions owners ask us first

What happens to the person who runs my office?

Usually the real question, and it deserves a straight answer. We will show you the written scope: what they keep, what moves to us, and where they get their time back. Where a role genuinely changes, we will say so up front rather than let you discover it in month three.

I have used the same accountant for twenty years.

Keep them. Your annual financial statements and audit go to an independent firm anyway, and we maintain the records they work from. What we add is the monthly discipline your accountant was never contracted to provide.

If you handle my insurers, do I lose the relationship?

No. You stay the principal and the accreditation stays in your name. We handle the administration, the documentation, the invoicing and the day-to-day dealings, and we do the negotiating. Nothing commercial gets agreed with an insurer without your approval, and you can be in any meeting you want to be in.

Do I have to change all my systems?

No. We are deliberately system-agnostic. If what you use works, we work with it. We only propose replacing something when there is a clear operational or commercial reason, and we will explain it before anything moves.

How do I know you will not take money out of my account?

You hold sole release authority, for suppliers and for salaries. We prepare and load; you release. It is in the contract and we cannot change it unilaterally.

Can I take one part, just the IT?

You can ask, but we would rather be honest: the value comes from running these functions together. For IT alone you would be better served by a straight IT provider, and we will point you at a good one.

One visit, about 45 minutes, at your workshop. We are not going to present anything at you — we want to understand how your month runs and what you are already spending across every provider you use.
